Oral Presentation Guidelines
We look forward to your oral presentation in Santa Fe. The following information is offered to help you prepare for your talk. Please read prior to preparing and uploading your presentation.
Presenter Requirements
- Presenters should be registered for the conference by October 10. If you are waiting on travel approval or payment, please register as soon as you can. If you did not pay your abstract fee upon submission, it can be added on to your registration.
- Presenters should review the AFE Code of Ethics, TEK and Diversity Statements, and use our guidelines for creating inclusive and accessible presentations.
Presentation Length
- Each presenter will have 15 minutes total, which includes 10 minutes for the presentation, 3 minutes for audience questions, and 2 minutes to transition to the next speaker.
- Moderators will keep time and have signs to help speakers know the minutes remaining in their timeslot.
Presentation Format
- Presentations should be a Microsoft Office Powerpoint or PDF file. You can use the default slide size (16:9).
- The meeting space has free wifi. However, please do not plan on using the internet during your presentation as it may be slow and unable to support your needs.
- Each meeting room will have a podium, microphone, and a remote slide advancer and pointer.
- If you plan on playing a video in your PowerPoint, make sure this file is embedded correctly and test the video in slide show mode. The most common and recommended format is an MP4 video file (.mp4, .mpv, .mov). Other forms of video players like Quicktime, VLC, etc. may not be available.
- If you plan to use presenter notes in PowerPoint, you will go to the “slide show” tab and check the box for “presenter view” and save your file with these settings. This will show the notes pages on the laptop at the podium and your slides on the projector screen.
Presentation File Upload
Due to the short transition time between speakers, presenters are required to upload their presentation slides by 2pm the day before your talk. You will upload your presentation online.
- Presentations on Tuesday, Nov 19: Upload file by Monday, Nov 18 at 2pm MST
- Presentations on Wednesday, Nov 20: Upload file by Tuesday, Nov 19 at 2pm MST
- Presentations on Thursday, Nov 21: Upload file by Wednesday, Nov 20 at 2pm MST
Upload Instructions
- File Naming Protocol: The name of your file should be your presentation number only. Your presentation number was emailed to you, or click here to find your number. No other information is needed, as your name will be automatically added during the upload process.
- File Upload Link: Click here to upload your file.
- Alternate form: Some government computers cannot access the Dropbox form. In that case, please use this file request form instead. This form is through Wufoo, and you will recieve an email confirmation after submission.
- Upload your file and enter your name and email.
- You will receive an email confirmation that your file was uploaded. Check your junk/spam if you do not see it; email sender address will be [email protected].
- If you have issues uploading your file email both: [email protected] and [email protected].
- If you need assistance or to check your slides, you can visit the Presentation/AV Station in the Ballen Boardroom from 4pm to 6pm on Monday, and 5pm to 7pm on Tuesday and Wednesday.
**If you miss the deadline: Do not submit using the form above or email your presentation to AFE. Instead, go directly to your presentation room 15 minutes before the session start time and work with the AV volunteer to load your presentation to the computer. Please only use this option for extenuating circumstances as we can not have multiple presenters loading presentations before the session begins.
